FAMILY SERVICE HOURS

Please click on the Online Service Hours form to enter service hours that were completed at swim meets and other events such as banquet, swim-a-thon, officiating or timing at other meets, chaperoning, committee coordinator, etc.

Legacy/OCST and Molalla is a non-profit organization that depends on volunteers for operation. Without the help of volunteers, it would be impossible to meet the administrative duties of the team. For that reason, swim team families are expected to serve volunteer hours annually.

Members’ service hour obligation for the year runs from October 1 through September 30. 

All service hours worked must be logged by members in our online tracking form. Service hours not logged online may not be counted toward the annual obligation. Click HERE for instructions.

RULES

  • You are responsible for making sure your service hours are submitted.  The only time we submit service hours for you is for board meetings or events that the board of directors approves (such as safe sport training).

  • Log your hours within 3 months after completion.  Do not play catch up at the end of the swim year (September).  You will not be given any sympathy for forgetting what you did.  Guess work will not be tolerated.

  • If you did prep work on food for meet concessions, this needs to be approved by a board member before logging hours.

  • Food items purchased and donated for a meet or event (banquet) are not considered service hours.

  • Items donated such as pictures, equipment (TV's etc.) will be a tax deductible itme, not a service hour.

  • Auction items donated, such as a service or collection of donations in the larger community can be used as service hours.

  • If you signed up for a job at a meet and were not able to go due to illness, you will need to find a way to get to another meet or find jobs to do at the pool to make up the time.

 

Throughout the year, you can monitor your volunteer activity on this website under My Account. Click on Invoices & Payments and then on the Service Hours tab to view status. OCST confirms service hours from the online form on a quarterly basis. If families are unable to meet the volunteer requirement, they are expected to buyout these hours at a rate of $20.00 per hour at year end or upon leaving the team.

In summary, service hours are currently 9-24 hours per family per year billed out at $25/hr.

Swim families with multiple swimmers would be obligated to the group with the highest hours obligation.

 

Ongoing Opportunities:

  • Officials are essential to all swim meets (Home and Away), we cannot have meets without them! 

    • Stroke & Turn Officials for Swim Meets (16 needed, training is required)

    • Starter (must have been Stroke & Turn Official prior with additional training)

    • Electronic Timers (12 needed, training is required)

    • ​Board Members are asked to serve two year terms

    • We have several committees: Swim-a-thon, Banquet, Concessions, volunteer coordinators.  We are currently looking to form a new member committee.

Other ways to meet your volunteer obligations:

  • Attend board meetings (Monthly): Stay informed and get a volunteer hour.

  • Help with Annual Swim-a-thon (Annually): Prize coordination and distribution

  • Scoreboard Sponsorship (Annually): Help renew contracts and find new sponsors

  • Apparel Ordering and Distribution (As needed): A few times a year we do team apparel orders

  • Help with Annual Banquet (Annually): Food prep, games, coach appreciation

  • SWIM MEET Volunteers (Home Meets NOV & MARCH): Most of the OCST's volunteer needs are during home swim meets, it takes a village! What can you do?

    • Announcer (One Needed): TRAINING REQUIRED. Announces first, second and final calls for eeach event using the Public Address System. Works closely with the officials and starter to keep the meet running smoothly and on time. The announcer will need to anticipate flow based on the number of swimmers, the stroke, the number of lengths to be swum, and the age of the swimmers.

    • Auction (Multiple Needed): Organizes the silent auction as a fundraiser, works with other volunteers to acquire donations.

    • Awards (One Needed): Attach result stickers to the back of ribbons to hand out to coaches/swimmers.

    • Baking and Food Prep (Multiple Needed): Work with the Concessions Chair the night before swim meets and during swim meets in order to make food for concessions.

    • Bull Pen (One Needed): Organize 8 and under swimmers in order before lining them up behind the blocks. The young swimmers sit on benches with their number on it while they wait.

    • Concessions (Multiple Needed): 

      • Concessions Chair: Organizes all concessions and volunteers.

      • Concessions Set Up, Sales and Servers: Sets up, prepares, and runs the snack bar with the direction of the Concessions Chair.

      • Concessions Clean Up: Help clean up concessions areas after a swim meet. Usually towards the end of the day.

    • Floater (Two Needed): Help out anywhere an extra set of hands are needed.

    • Head Timer (One Needed): EXPERIENCE REQUIRED. Organizes and briefs the Lane Timers on their duties prior to the meet and is in charge of the lane timers throughout the meet. Explains timing to the lane timers, run spare stopwatches during each heat in case one of the lane timer stopwatches fails. The head timer has the authority to remove and replace any lane timer, with the approval of the home meet director.

    • Lane Timers (Multiple Needed): Each timer is provided a stopwatch and assigned a lane; there are two to three timers for each lane. Starts stopwatch with Starter's Flash. Stops the stopwatch and the touchpad system when the swimmer touches the wall at the end of each race. Records the swimmer’s time on paper based on stopwatch results. All times are recorded and evaluated for the official time. Timers are assigned to work in shifts at the meet. Best seats in the house!

    • Hospitality Volunteers (Multiple Needed): Prepare and serve food for coaches, officials, and timers throughout the meet.

    • Hytek Operator (Multiple Needed)OFFICIAL TRAINING AND CERTIFICATION REQUIRED. Work with the computer office lead to run the meet software. Responsible for entering data from event cards and verifying data entered. Marks the official time fo reach swimmer, records the order of finishes and verifites the computer results. 

    • Meet Runner (Two Needed): Responsible for obtaining the completed event cards from the timers and DQ forms for each race from the judges. The cards and DQ forms are delivered to the scoring table. The job title is very descriptive. Runners should have good tennis shoes that work well on slippery wet surfaces. Assigned to work for one half of the meet. This job keeps you moving around at the poolside and the time passes quickly.

    • Safety Marshalls (Four Needed): Enforce safety rules during warm ups. Wear a stylish orange vest and sit at one of the four corners of the pool. Prepare to become a bit damp. 

    • Set up before the meet (Many hands make this go much faster!): Work with the meet director to put out chairs, set up the timing and audio system, change the lane lines, adjust the slide, diving board, and blocks. This position requires time on Friday evenings prior to home meets.

    • Shoppers (Multiple Needed): Run to the store to get more supplies for concessions; otherwise help out in snack bar. Must have a car.

    • Starter (Two Needed): OFFICIAL TRAINING AND CERTIFICATION REQUIRED.Starts each event with the announcement of the age and stroke and the words "SWIMMERS TAKE YOUR MARK", pauses to make sure that all swimmers are motionless, and then gives an electronic sound or a blast of a whistle. He/She shall be the sole judge of FALSE STARTS and all false starts shall be restarted.

    • Stroke & Turn Judge(Multiple Needed): OFFICIAL TRAINING AND CERTIFICATION REQUIRED.Work in pairs on each side of the pool with one member of a pair being from each team. Judges only rule on infractions on their side of the pool. They observe strokes, turns, and finishes to see that swimmers comply with requirements for that stroke.

    • Volunteer Check in/Heat Sheet Sales (Two Needed): Check in volunteers, sell heat sheets, and possibly raffle tickets at certain meets.
